Notify Managers to log in and remind their team to finish the Engagement Survey when the response rate is low

Why?

  • Many Managers are unaware of the Engagement Surveys running behind the scenes, and are only alerted to this situation by the Champion, CS, or some other external trigger that is not built into the system.

  • Attuned also has a “Send Reminder” function, which Managers can use to remind respondents to finish the Engagement Survey. However, this function is currently under-utilized.

  • A notification for Managers highlighting their team’s low Engagement Survey response rate aims to improve the overall response rate by adding an external trigger that will connect to the “Send Reminder” function.

  • Since responding to Engagement Surveys is directly linked to the team’s and company’s engagement level score, it is important that respondents answer Engagement Surveys on time.

The Details:

  • Managers will receive an email notification when the Engagement Survey response rate falls below a certain threshold (i.e. the Engagement Survey response rate is equal to or less than 50%).

    • Managers receive this email notification four days before the next Engagement Survey (at 9am JST), asking them to remind their team to take the Engagement Survey.

    • When the Manager clicks on the “Send Reminder” button in the email, it takes them to the “Send Reminder” module on the dashboard.

    • The Manager can then select and send reminders to respondents who haven’t completed the Engagement Survey yet.

 
 
  • The Engagement Survey notification email notifies only the Manager assigned to that team.

    • Adjacent Team Managers from parent or child teams do not receive the email notifications.

    • Respondents with a manager role in the same team but who have not been assigned as a “Manager” do not receive notifications.

  • The email notification is sent only when the Engagement Survey response rate is equal to or less than 50%,  four days before the end of the Engagement Survey period.

  • If the fourth day before the end of the Engagement Survey falls on a Saturday or a Sunday, then the system will send the notification on the Friday.
